June 2025 Board Meeting Minutes

Meeting started at: 6:00 PM

Approval of Minutes (April 8, 2025):

• Megan Sand was marked absent from April meeting

Financial Standing:

• Reviewed current savings, profits/donations, and expenditures
• Reviewed financial opportunities:
  • Grand Mesa Timing: Karla will test the new Jaguar system update at the Turkey Flats race in preparation for GMU
  • Tour of the Moon Sag Wagon

Board Memberships and Board Duties:

• Discussion on board membership. Martin and Karla shared plans for the website to support auto-renewals and membership expiration reminders.
• Questions raised about the ideal number of board members. No decision made.
• Discussed encouraging more involvement from Strider members and making non-executive meetings more visible and open.
• New newsletter co-editors: Megan Sand and Michelle Oberndorf

Election Results:

• Reviewed election results and Teller Committee process
• Concerns about anonymity in voting due to verification needs. Determined current process is appropriate for the club’s size and funding.
• Discussed difficulties some members experienced with online voting. Agreed to send out a survey to gauge satisfaction.

Honoring MMS Founders:

• Discussion on creating a lifetime membership, plaque, and website page to honor founding members
• All members voted in favor of Lifetime Membership Honor

Action Items:

• Create survey for election process – Megan Sand and Ryan Sullivan
• Create Sign-Up Genius for GMU – Karla Nephew
• Ensure sufficient bibs for upcoming races – Karla Nephew
• Discuss QR codes for donations – Karla Nephew and Martin Wiesiolek
• Create Founders page on MMS website – Martin Wiesiolek
• Revise and print June newsletter – Tom Ela
• Start template for August newsletter – Megan Sand and Michelle Oberndorf
• Write and send letter of honor to Larry Ingram – Karla Nephew
